Who this policy covers
MyFastBid provides business software through myfastbid.com and the MyFastBid Android and iOS apps. This policy explains how the operator of MyFastBid handles personal information for that Service. Contact office@myfastbid.com for privacy questions, operator details or to exercise your rights.
If you are a workspace owner or team member, this policy applies to your use of MyFastBid. If you receive a quote, invoice, booking link, invitation or customer request form, we also process information about your interaction with that business. Usually the business decides why your customer information is collected and how it is used; we process its business records to provide the software. Contact that business about its services and customer records. We also handle some information for our own purposes, such as account administration, billing, security and legal compliance.
Information we collect
Account and business information: names, email addresses, business names, trade, contact details, base or business address, team memberships, roles, account settings and password authentication records. Passwords are stored as hashes rather than readable passwords.
Business records: customer and company names, email addresses, phone numbers, service addresses, job measurements and requirements, catalog details, quotes, selected extras, notes, terms, invoices, payment status, appointments, recurring work, tasks, files, images and communications that you or a business enter or upload. Avoid including unnecessary sensitive information in free-text fields or attachments.
Transactions and referrals: selected plan, billing identifiers, subscription and payment status, amounts, invoice records, referral attribution, qualification, rewards and credits. Payment providers handle card entry and processing. MyFastBid receives the transaction information needed to update records; it does not need your full card number or card security code in a quote, note or support message.
Connected accounts: when you authorize an integration, we process the access credentials or tokens and the contact, calendar, address, routing or payment information needed for that connection. The available integration, your permissions and chosen actions determine the data exchanged. Connecting one workspace does not automatically connect every business using MyFastBid.
Device and activity information: IP addresses, browser or app information, device notification tokens, timestamps, authentication and security events, requests, delivery status, errors and actions such as viewing or accepting a quote. We keep activity records for appropriate workspace and platform administration, including use of administrator impersonation. Records can include who took an action and when.
Support and public content: messages or feedback you send us and content authorized administrators publish on public pages. Screenshots uploaded for public help pages are public; personal customer details should be removed before publication.
Where information comes from
We receive information directly from you, from the business or teammate who adds your details or invites you, from activity in the Service, and from providers you or the business choose to connect. A person may therefore have customer information in MyFastBid without creating a MyFastBid account.
How we use information
We use information to create and authenticate accounts; provide catalogs, quotes, booking, invoices and business records; save and sync work across authorized devices; deliver requested messages and notifications; run connected features; administer subscriptions and referrals; provide support; diagnose failures; prevent fraud and abuse; maintain security and audit records; comply with legal requirements; and establish, exercise or defend legal claims.
We use account and contact information to send necessary service, security and billing communications. A business using MyFastBid is responsible for its own customer messaging permissions and marketing practices. Agreeing to the Terms or acknowledging this policy does not itself opt you into unrelated marketing.
Where a legal basis is required, we rely as appropriate on performing a contract, our legitimate interests in operating and protecting the Service subject to your rights, compliance with legal obligations, or your consent for a particular optional feature. When we process customer records on a business's instructions, that business is responsible for its own lawful basis and notices. Consent can be withdrawn for consent-based processing without affecting processing already lawfully carried out.
Who information is shared with
Your business workspace: authorized owners and team members can access information according to their roles. A person who created your business account may control your access and business records. Authorized MyFastBid personnel may access information when needed for support, operations, security or legal reasons; administrative workspace impersonation is audited.
Recipients you choose: quotes, invoices, booking links and messages share their contents with the people they are sent to. A public access link can be forwarded, and someone who has it may be able to view or act on that document. The Service records some of those actions. Use the right recipient and avoid sharing links publicly unless intended.
Service providers: hosting, storage, backup, email delivery, payment, security and support providers process information needed to perform their services. Stripe handles enabled payments and subscription billing. Google services can be involved in authorized contact or calendar connections and configured mobile notifications. Configured address and routing services, such as Geoapify or Google routing, receive the address or route query needed to return a result. Provider availability and configuration can change; Integrations identifies the connections enabled for a workspace.
Third parties you elect to use: connected providers and external video hosts may also process information under their own policies. If you choose to play a YouTube or Vimeo video on a public page, your browser connects to that host, which may receive your IP address and device information and use its own storage. Embedded videos do not load until you choose to play them. External links take you to the provider's site.
Legal and business events: we may disclose information when reasonably necessary to comply with law or lawful process, protect rights and safety, investigate abuse or defend claims. If the business operating MyFastBid is involved in a merger, financing, reorganization or sale, relevant information may be reviewed or transferred under appropriate protections and required notices.
We do not sell customer lists or use customer records to target third-party advertising. The current Service does not use advertising cookies on its public pages. We do not use personal information from connected Google accounts to serve advertising. We will update this policy and provide choices or consent where required before introducing materially different uses. Ordinary operational processing, selected integrations and external video playback still involve sharing as described above.
Cookies, device storage and permissions
The web app uses session cookies and security tokens to keep you signed in and protect requests. Device or browser storage also remembers preferences such as appearance, navigation and time zone. Referral information may be kept in a signup session so a referral can be attributed. Disabling essential storage may prevent signing in or using forms.
Mobile apps keep authentication material using platform protection and retain workspace data and drafts on the device for use and syncing. Device copies can remain while you are offline. Protect your device with a passcode and keep its software updated. Signing out, removing an app and requesting server account deletion are different actions; uninstalling alone does not delete server records or cancel billing.
Optional features may ask for notifications or access to a selected photo, file, camera or device messaging capability. Allow only the permissions you want and change them in device settings. Entering a service or base address sends that information for the enabled address or routing feature; this does not mean the app continuously tracks your location in the background.
We do not currently sell or share information for cross-context behavioral advertising. Because no such advertising processing is currently enabled, Global Privacy Control and similar signals do not change a sale or advertising-sharing setting. Browser “Do Not Track” signals do not have a uniform standard and do not disable essential service processing. Contact us about any privacy preference we can help you exercise.
Retention and deletion
We keep information for as long as reasonably needed for the purposes described here. Relevant factors include whether an account or business record remains active, contractual and tax record needs, dispute or fraud risk, legal obligations, security investigation needs and requests from the business controlling the records. Different categories may be retained for different periods; we do not promise a single deletion deadline for every record.
Contact office@myfastbid.com to request account closure, access, correction or deletion. We verify requests and consider legal exceptions. Workspace customers should also contact the business that collected their information; we help that business respond where appropriate. A request from an individual does not automatically delete another business's legally retained invoice or contract record.
Deleted or closed records may remain in restricted backups until those backups are rotated or removed, and in records needed for legal, accounting or security purposes. Policy acceptance records identify the version acknowledged and may be retained to document the agreement. We restrict retained information to the purposes that justify keeping it. We may retain information that has been irreversibly de-identified so it no longer identifies a person.
Security and international processing
We use technical and organizational measures designed to protect information, including access controls, authentication, protected credentials, encrypted connections where configured, audit records and backups. No method of transmission or storage can be guaranteed secure. You also help protect information by using a strong password, restricting team access, securing devices and reporting suspected misuse promptly.
The Service and its providers may process information in the United States and other locations where they operate. Laws can differ from those in your country. Where a transfer is subject to legal safeguards, appropriate arrangements are required. If your intended use requires a specific processing agreement, location restriction or transfer mechanism, contact us before uploading the affected information; this public policy alone is not a promise of region-specific hosting or an executed data processing agreement.
Your choices and rights
You can review and update available profile and business settings, control connected services, manage device permissions and use available export or download features. Disconnecting an integration stops its future authorized use through that connection but does not automatically delete information already copied into a workspace or held by the provider. Provider account settings may offer additional controls.
Depending on where you live and which laws apply, you may have rights to access, receive a copy of, correct or delete information; restrict or object to processing; withdraw consent; opt out of certain uses; or appeal a request decision. California residents may have applicable rights to know, correct, delete, opt out of sale or sharing and limit certain sensitive information uses. These rights can be subject to statutory scope and exceptions. We do not require you to waive non-waivable privacy rights as a condition of signup and will not unlawfully discriminate for exercising them.
Send requests to office@myfastbid.com with enough detail to identify the account or business relationship. Do not include passwords or full payment details. We may ask for proportionate identity or agent authorization verification. We respond within the period required by applicable law, explain any refusal and provide available appeal information. You may also complain to your relevant privacy authority, including the California Privacy Protection Agency or your local data protection regulator where applicable.
Children and sensitive uses
MyFastBid accounts are intended for adults running or working with businesses. We do not knowingly collect personal information from children under 13 for their own use of the Service. If you believe a child has provided such information, contact us so we can investigate and take appropriate action. Do not use the Service to collect children's or specially regulated sensitive information without the necessary authority and an agreed, supported use.
Policy changes and contact
The published revision and date show when this policy was updated. We will provide additional notice of material changes and obtain consent where required before applying a new use that requires it. Signup records preserve the revision acknowledged; acknowledgment is notice of our practices, not a blanket consent to every possible future use.
For privacy requests, questions, complaints or a copy of your signup acknowledgment, email office@myfastbid.com. If your question concerns work quoted or invoiced by a service business, contact that business too, as it controls that customer relationship.
